The University of Basra Organizes a Workshop to Improve the Efficiency of Official Email Management
In accordance with the directives of the President of the University of Basra, and with the aim of expediting responses to official correspondence, the University of Basra Presidency held a specialized workshop for staff responsible for managing and monitoring email across all of the university’s colleges, centers, and departments under the University Presidency, to ensure the timely handling of urgent emails and incoming ministerial correspondence.
The workshop included a lecture presented by Dr. Hisham Latif Sawadi, Director of the Information and Communications Technology Center, on managing and securing official email accounts, organizing folders and archiving to prevent storage capacity from becoming full, classifying incoming correspondence (regular, urgent, confidential), and ensuring their prompt delivery to the relevant departments for review and response, in addition to activating document tracking systems, reducing administrative red tape through the use of electronic circulation, adhering to official administrative drafting guidelines, and handling attachments and file formats (PDF) to ensure clarity.
At the conclusion of the workshop, participants emphasized the importance of these periodic meetings for aligning perspectives and overcoming technical obstacles, thereby contributing to accelerating the pace of comprehensive digital transformation across the university and all its units.
